Field trips: Liability issues and best practices



  • Good Supervision - The recommended ratio for a field trip is one adult per two children. The required ratio of teachers to students varies by state, two teachers for 15 students is generally acceptable in the school environment, but risky for an outing.

  • Appropriate Insurance Coverage - A school's liability insurance cover injuries that happen at the school, but may not cover activities off campus. Owners of a school should review the policy or discuss the coverage issue with the agency who sold the policy or with an attorney. Do not accept verbal assurances from anyone: get it in writing! When a preschool is planning something new and different (like a first field trip), an insurance policy review is highly recommended

  • Proper Consent Forms - A note to the parents about the field trip, even if signed that they have been "advised" regarding the field trip is insufficient. You should always use a properly drafted consent form. 

  • No Personal Vehicles - It is highly recommended that a school abstain from use of personal vehicles on a field trip. The usual auto insurance for personal vehicles does not afford coverage when the vehicle is used for a commercial purpose. Hire licensed and insured bus or van operators - and make sure there are seat belts for everyone. 

  • First Aid - Bring a First Aid Kit! All preschools are always required to have first aid kits on hand, especially on field trips. Notify parents as soon as an injury occurs. Do not wait until the end of the day.
